Why does my GAGEtrak software bring up a message stating it is going to expire, even though I purchased the software?

The message will state that "you need a trigger code to active the software". This is a normal message for new customers, those who are upgrading and those that are evaluating the software. 

Like many other software firms, CyberMetrics instituted the trigger code activation system to help combat software piracy.

How do I enter a Calibration Procedure?

One of the great features of GAGEtrak is having Procedures linked to one or more gages. Each gage can also have more than one procedure linked to it.

In Gage Entry you can click on the Procedures tab and see the Procedure Title, text, picture and attachments.

Now, how do you get those Procedures on the Procedure tab? After all, you can't just type a new Procedure into the Procedure tab. Entering a new Procedure is done from the Main Menu > Main Records > Procedure Entry. This is where you setup your library of procedures.

In Procedure Entry, type, paste, and link procedure information. Each tab in Procedure Entry offers opportunities for easily defining your Procedure. By clicking the New Record button you may add as many Procedures as you like. Of course, each must have a unique name. 

Once you have created the Procedures, return to Gage Entry > Procedures. You may now select the correct Procedure for that gage (you can also link more than one procedure to a gage). Use the New Record button on the bottom of the Procedure sub-form to link more procedures for the gage. Once the selection is made all the tabs will be populated with the information you entered in Procedure Entry. 

How do I change the frequency of the calibration after the gage is already established in GAGEtrak?

Calibration frequency is set in Gage Entry on the Calibration Schedule tab in GAGEtrak. Once the frequency has been changed, delete the next due date and click the Next Calibration button. This will calculate the next due date. Please note; any changes made will take affect on the next calibration. Thus, existing Calibration records WILL NOT BE CHANGED. Existing Calibration records are history. They reflect what is true at the time they were created.

When I upgrade my software, how do I import the data over from my existing version to the new version?

If a transfer of data is necessary, each of our products includes a Data Transfer Utility (DTU). The DTU is typically only necessary if you are upgrading a full version number (e.g. you are upgrading from version 6 to version 7).

How do I keep my measurements in order in GAGEtrak?

The answer requires some planning ahead. Measurements are called Standard IDs and GAGEtrak sorts them from left to right (as if it were alphabetizing). So, Standard IDs which are numbered, appear in this order: 1, 10, 11, 2, 21, 22, 3 and so forth. To cause the Standard IDs to be in the desired numerical order use leading zeros (0) (Example: 01, 02, 03 and so forth) when there are less than 100 Standard IDs. Use two leading zeros if there are more than 100 Standard IDs.

Tech Tip ? Working with International Date Formats in GAGEtrak

Customers outside the United States  sometimes encounter issues as a result of the format setting they have chosen to use for dates. When a non-U.S. standard format for a date is used, GAGEtrak may lock up the computer, not respond properly, and/or give a Runtime Error and close during critical operations (such as entering a Trigger Code or completing a new calibration record).

In the U.S. , the standard format for a date is represented by mm/dd/yyyy. So, November 9, 2008 would be typed into GAGEtrak as 11/9/2008. However, customers in many parts of the world use a date format represented by dd/mm/yyyy. In this format, November 9, 2008 would be typed into GAGEtrak as 9/11/2008. Currently, Access (GAGEtrak is programmed in Access) has difficulty mixing date formats. GAGEtrak is programmed using the U. S. standard, consequently; when your computer is set to another standard, some functionality is jeopardized.>

The solution is to set your computer?s region and language to United States English. The setting is in the Control Panel | Regional and Language Options. The Regional Options tab | Standards and Formats must be set to English (U. S.). The Location must be set to United States . Do not customize any of the date, time or monetary formats. These instructions are based on the Microsoft XP operating system. Similar settings should be made in other operating systems.

Having solved the issue by setting the computer?s operating system to U. S. (English), you may have a concern regarding your employees misreading dates. In the date example above, is 11/9/2008, November 9, 2008 or September 11, 2008? The opportunity for this confusion exists for any date where the day?s number is 12 or below. 

To reduce the possible confusion, we suggest using the EOM (end of month) frequency unit of measure (Gage Entry | Calibration Schedule). This setting will bring all gages due at the last day of the month, every month. For instance, if a gage is set to 3 EOM and the calibration is performed on January 10, it will be due on April 30, the end of the third month. Companies using this frequency state in their calibration documentation that the gage can be calibrated any time during the month mentioned. The calibration would be late if performed in the month following the month in the due date. Since there are only 12 months, the large number will remind the employee that the date is not in the local standard format.

Tech Tip -Traceability

Traceability is a key consideration in the design and function of GAGEtrak. All gages must be traceable to a NIST standard. To that end, GAGEtrak considers two "classifications" of gages. One is a Reference gage, frequently called a Standard. This is a gage used to verify working gages. Examples of Reference gages are Gage Blocks and Pin Gages. The second classification is a Non-Reference gage, or working gages used on the floor to verify product.  Examples of Non-Reference gages are calipers and micrometers.

Reference gages are frequently sent out to a calibration service to be verified. When they are returned, they are accompanied by a Certification of Calibration. The Certification will include the NIST number of the Working Master gage used to verify your reference gage. Non-Reference gages are usually verified in-house. The Reference gages are used to perform this verification.

GAGEtrak provides a path to track the working gage back to the Working Master gage used to verify your standard gage.

For GAGEtrak to provide this traceability, the reference (standard) gages must be entered into the system correctly. The following fields in Gage Entry play a key role when setting up a Reference gage for verifying Non-Reference gages:

  1. Gage ID: Required field which must be unique
  2. Status: A Reference gage must be "1-Active" or it can not be used for verifying
  3. The Reference check box must be checked
  4. The NIST Number field should have the number from the Certification of Calibration
  5. Type: This is a key field for automating the tractability activity. Example: All gage blocks or gage block sets might be listed a Gage Blocks, likewise Pin Gages, etc.
  6. On the Calibration Schedule Tab, the Reference gage must have a calibration frequency and be in calibration.

The Non-Reference (Working Gage) gages must have the following fields:

  1. Gage ID: Required field which must be unique.
  2. Status: To be used a gage must be "1-Active"
  3. On the Calibration Schedule Tab, the gage should have a calibration frequency and last call date if it is active.

Once gages in the above classifications are entered into GAGEtrak, we can set up Measurement requirements, called Standard IDs, for validation of Non-Reference gages. Of course, the Reference gage must be a gage you would use to verify the Non-Reference gage.

Standard IDs appear in three locations within GAGEtrak. First is Gage Entry | Standards, the second is Calibration | Calibration Measurements and the third is Standard Groups. There is very little difference in the Standards sub form in each of these locations. The Standards sub form in Calibration | Calibration Measurement contains fields for entering measurements, making it somewhat unique. 

The Standards sub-forms are where the tractability link is established.

The fields which establish the links will be addressed below. Understand that we are skipping several fields to focus on linking a Non-Reference gage to a Reference gage. Since the Reference gage has a traceable NIST number, the Non-Reference or Working gage has a traceable link to the Master gages at NIST. The Standard IDs will be created as data for the Non-Reference gage.

  1. Standard ID: This is a required field that uniquely identifies the measurement. Numbering works well (as 01, 02, etc). 
  2. Ref Type: We skipped several important fields, so we can remain focused on traceability. This field has a dropdown list of Gage Types. The list is populated by the Gage Entry | Type field felted by whether a gage is checked as a Reference gage. In other words, your Gage blocks would show up in the list because you have checked them as Reference gages listing their Type as Gage Block. Calipers will not show up here because they are Non-Reference, working gages.
  3. Gage ID of Standard: Refers to the Gage ID of the Reference gage you will use to verify the Non-Reference gage. As a convenience, only gages of the type you selected in the Ref Type field will appear in this drop down list. That means, if you have 10 gage blocks listed as Reference gages and typed as Gage Block, only those Gage IDs will appear in the drop down list.

As an additional note, for a Reference Gage to be available anywhere in GAGEtrak, it must be Active and in calibration.

Can GAGEtrak interface to spreadsheets and other Windows applications? Can I import existing data into GAGEtrak?

Yes! You can easily export GAGEtrak data to most of the standard Windows programs, such as Microsoft Excel, Rich Text (Microsoft Word), HTML, or text. To export data, select the Import/Export option on the Tools and Utilities Menu. You can import data from most formats, including Tab Separated Text; Comma Delimited Text; Excel and Lotus 123 spreadsheets; dBase, and Paradox.

Does GAGEtrack have bar code support?

Yes! GAGEtrak works with any bar code reader configured as a "wedge" (as most are). In fact, the Issue and Return screens have been optimized to support bar code input (of course, you can still use manual keyboard entry). Bar code technology helps you save time, avoid mistakes, and reduce costs.

Is GAGEtrak Year 2000 Compliant?

Yes! GAGEtrak is compliant with the millennium change. Just set the year value to be 4-digits in your Windows control panel and the program will honor the setting. 
    Actually, all date formats are supported (i.e., "2004/11/02", "11/02/2004", etc.) and can even be run in a mixed mode on a network (i.e., if some users prefer dates to be displayed one way and other users prefer their dates in another way). The reason for this flexibility is that internally, date fields are really stored as a format independent numeric value. 
    This same format independence holds true for decimal numbers, currencies and time values - this is one of the reasons our products are used by companies worldwide.

Does GAGEtrak have built-in security?

Yes! GAGEtrak provides extensive multi-level security for each major area of the program. Users can be granted one or more rights. Rights include "Access" rights (user can only view the records), "Add" rights (user can just add new records), "Modify" rights (user can modify existing records) and "Delete" rights (user can delete records). If desired, certain users can even be restricted from printing reports or from getting into the utilities menu.

Can you print graphs?

Yes! GAGEtrak comes with many built-in graphs. You can also create custom graphs by exporting your data to any spreadsheet such as Microsoft Excel, PowerPoint, business applications such as Crystal Reports, ReportSmith, Claris Impact and others.

Are the dataase fields large enough?

Yes?Most of the GAGEtrak fields are 50 characters, except of course for dates and numeric fields. Memo fields can hold up to 64K each. Because of the extremely efficient manner in which GAGEtrak stores fields (variable length fields), there is no wasted disk or memory space. 
   Other competing maintenance management packages that rely on older technology such as dBase, Btrieve, Paradox, FoxPro and ASCII databases utilize fixed length fields. This results in enormous amounts of wasted disk and memory space.

What does it take to maintain GAGEtrak?

GAGEtrak is very user friendly and requires very little support from MIS or IT staff.

Can GAGEtrak products be customized?

Yes! GAGEtrak has flexible report output. This means that you can print, fax, or e-mail reports directly from your PC! To do so, select the Send option from a Print Preview of your report.

Note: Faxing requires appropriate fax/modem hardware and supported Windows driver. E-mail requires a MAPI compliant e-mail software package, such as MS Mail.  

Does GAGEtrak have document control for reports?

Yes! If your company needs to comply with ISO 9001:2000 or QS 9000 Document Identification and Control requirements, each report can be uniquely identified with a document control number. The Document Control Text ID will appear at the bottom of all reports.

Can I track all changed made to my database?

Yes! For added security, you can set GAGEtrak to log all record changes to an Audit Trail file. To do so, enable the Audit Trail in your Settings menu. To access the Settings menu, go to your Tools and Utilities menu. Settings is the first option.
